Business Disasters Avoided by Simple Planning January 4, 2009

Monday morning, I got a call from an auctioneer informing me of an Auction this week. Usually Auctions are fun places to be for business owners. You pickup equipments for fraction of their original costs and mingle with other business owners who usually are in the same type of industry.
This Auction how ever was not easy to attend since it was taking place in a friend business. A local printer who was not only a smart and diligent businessman, but also very good at what he did,” an artist”. As we walked around his shop I was impressed by his top of the line Press equipment, best computer systems with the most up to date software. His walls were pasted with awards and samples of his award winning products. His now unemployed workers however, were walking around offering their help and time to anyone who was looking for help at a discount. I could not help but to ask my friend, what happened? He promised to explain the story to me after the auction was over.

Well I could not bring myself to buy anything that day, but waited until the end of the auction when everyone was gone, sat down with him and he told me the story. Printing business like any other, has become digital. More and more of the information which was in a form of a hard copied document of plates and negatives, filling many file cabinets are converted to a digital files, a folder in a file somewhere on a desktop. Like any smart business owner he had religiously backed up all his files which consisted of every thing from a simple business card to a hundred page book, magazines, posters, forms, contracts, etc. He would back up all the files, one disk this week another disk another week. He would also keep these removable disks elsewhere for safekeeping. Since this was the most valuable asset of his business and without these digital graphic files he simply had nothing to produce.

Now fast forward to 2 month ago. We got a big storm and the drain on his roof got clogged, at 1.00 am part of the roof collapsed, flooding the building and the computers. His business insurance would kick in to pay for repair of the presses but not recovery of his data. He was not worried since he had the backups. As he connected his backup disks to a new computer trying to recover the data, he realized that files that showed up on the screen could not be opened. All this time he was backing up his information to a corrupted backup system. He had not taken the time, opening the files and examining them for accuracy in years. All was lost.

This is a dangerous mistake that many business owners are committing every day, how many businesses actually take the time to create usable backups? How many know how to create a usable backup? Who actually check the accuracy of these backups once they are created? In this digital age, the information contained on those files are the most valuable assets of our business, We should protect them not just for our sake but for our clients sake, these are not just our assets, but theirs also and they have trusted us with their safe keep.

Improve Small Business Productivity During an Economic Slowdown - Revamp Your Business Floor Plan January 2, 2009

The unsettled state of the economy has caused many small and emerging businesses to put workplace improvement, expansion or relocation plans on hold. As a result, some business owners may be feeling the pinch of operating under less than ideal conditions, including cramped employee work environment; insufficient inventory or storage space; and minimal or non-existent visitor areas.

The answer to the dilemma could be to take a new look at the configuration of the overall business floor plan. Businesses that used only a “bodies per square feet” ratio to calculate the number of office cubicles or production workstations are often surprised when that original layout is re-assessed. By taking less obvious factors into consideration, it can be amazing how efficiency is improved or how much space is recovered.

Some of the additional factors include:

Nature of work - Think about the interaction that will be needed between different employees, and place those individuals within closer proximity to each other. This cuts down on foot traffic as well as the tendency to have distracting conversations across other workers or over cubicle walls. If you can effectively group people working on like tasks in a shared area, that can also save space.

Perimeter floor space - Assess usage of the perimeter space surrounding workstations or cubicles. Are fax machines and copiers easily accessible? Would it save travel time and distance to have supply stations in two or three different areas? Is there an easily navigable path for staff or visitors passing through the office, one that will minimize employee distraction?

Visitor reception - Even if a company does not have a lot of direct customer traffic, it still needs an appropriate waiting area for visitors, including vendors, salespeople or job applicants. No separate room to set aside for this traffic? Defining the reception area can readily be accomplished by setting up an extended cubicle wall behind the reception desk, establishing a sense of privacy in both that space and the office space or production area behind it.

The reception area doesn’t need to be massive or lavish. It can be as simple as a few chairs and a small table with trade publications. If there is room, include a display of company products or information about services. It’s important to present a professional appearance to every visitor, including prospective employees.

Ask your employees to make constructive suggestions and actively participate in the reconfiguration process. They know better than anyone what challenges the current workspace may present, and the chance to brainstorm together and come up with creative solutions will be a morale booster for everyone.

Imagine someone telling Bill Gates that software (soft what?) is not something you can create a business around!

Imagine someone telling Sergey Brin and Larry Page of Google that playing with a search engine was a nonsense business idea!

So why do we get such negative vibes from people if we say we are starting an Internet based business. Things like - ‘oh, your gonna run a scam and rip people off!’

What a load of rubbish. Sure there will be some people who will spend just as much time and energy trying to rip people off as they would if they established a real business. Can you imagine being one of the people in Africa who really think that millions of people are going to fall for the vault full of gold story or the dead person who just happens to have the same last name as you and you can get a share of their millions? What a waste of effort!

Yet if you plan your plan and stick to it, you can create a real on-line business that will generate a lot of income.

Whatever your target income you can achieve this provided you put in the work. Nothing is simple including making a fortune. You can build a business in any area that you have expertise in, or can develop expertise in by studying. Do not be put off your goal to be independent.

Yes, initially you may have to work as hard at your part time job as you do in your full time job. Perhaps even harder. But at least you will see the value and the gains come and the MONEY will be yours, not the bosses.

Once your business is set up, income running, you can create a new work schedule of maybe a few hours a day or a week.

Or if you’re like me, you get bored not setting new goals to achieve and soon find yourself looking for new challenges. If you do some research on the people who make the millions on the Internet you will see that they are on their 4th or 5th business. Why do they do it? Because they like the fun and excitement and the challenges that come with creating a business. They also like to help a lot of other people escape the rat race.

I am sure that once you taste success, and see that you can create ideas and turn them into wealth you too will have a burning desire to do more.

The biggest advantage of the Internet is that it is truly global. While ‘real’ business people need and are limited to building an income in their local area, or state, and can be hit hard by local economic factors (2008 US recession, sub-prime etc), an Internet business allows you to build a client base across the country, and better still the GLOBE and thus lessens the risk of your business income drying up.

So, tell the naysayers - An Internet business is probably more real than one with a brick and mortar facade, and will likely outlast many of the traditional local businesses.

There are a lot of things that a business has to think of to avoid “risky business”. One of them is facing & dealing with the EEOC (EQUAL EMPLOYMENT OPPORTUNITY COMMISSION). Many companies do not want to face an EEOC complaint. So company managers & owners should treat everyone fairly in order to reduce the chance of having a complaint filed against you and your company. You are not immune to having complaints filed against you but you can lessen the chance. If specific measurements are not in place and applied equally, a company is open to potential exposure and a “risky business” situation.

How do you minimize some of your exposure to charges of “unfair treatment”? Begin by objectively positioning each and every job, using a comprehensive position description.

A solid, up-to-date description is essential for all positions. It is critical that each and every job description be clearly and objectively written so that all parties understand. Also, so no one can justify major differences of opinion or make accusations that you have treated people differently. You will be measuring specific items, and everyone will be measured the same way.

The major elements of any position description should include these items:

Each of these factors measure success in the job. Make sure that all employees are measured against these expectations–irrespective of race, gender, etc….

Managers should began to outline the primary duties and responsibilities for their areas of responsibility, that’s the easy part.Then a manager could have a rough outline of “what” each job entails. An example: “Sell to existing clients. Develop new relationships.”

A sometimes a difficult part of the process can be in outlining specific behaviors, attitudes and soft-skill competencies for each position. Each participant should be asked to complete an objective questionnaire that measures these critical factors. Once everyone sees the results of the input, it can be easy to add the “how” factors to the job descriptions, along with the underlying, measurable attitudes/ values that would enhance success. Managers will be able to prioritize and add several soft-skill competencies to the descriptions.

Through this process, managers may discover their relief, that they could objectively measure success in every job. They will now have methods for measuring each one of the identified success factors against the same standard.

Performance measurements may be equally difficult to develop. Some may have never considered adding this element to a position description. Management may end up in agreement on several specific, measurable performance objectives. Here is one example: “Achieves or exceeds all daily, weekly, monthly, quarterly and annual sales objectives within an assigned sales territory.”

With the toughest part of the work done, the next step is to define the specific types of experiences and education each position requires. Managers may discovered that if they have some general requirements for experience and education, they would actually broaden the base of possible candidates and could begin to think about including a wider variety of candidates for the job.

Make the final element “Special Considerations.” For some jobs, this can be simple: “Ability to travel as needed.” Sometimes managers hire salespeople who can not or will not travel.

To avoid this,give each person in a sales position a clear understanding of the jobs requirements. Better-qualified employees can be hired; performance ratings are up; employee discipline is down. Everyone is being measured against the same standard.

Risky business? Some managers may not think so. By doing this, a manager can minimized the risk to their business. Then they will be measuring all aspects of a persons performance fairly and consistently against specific, measurable expectations.

Business Ethics Is All About Your Character December 19, 2008

Imagine walking up to a restaurant for an early morning breakfast and before going in, you make a decision to buy a newspaper from one of the various vending machines. However, before you can deposit your coinage, you observed the following:

Two small business owners or possibly businessmen walked up to another newspaper vending machine. One deposited the proper coins and opens the door to take his paid for newspaper. Then he asks his companion if he would like one as well? A second newspaper is removed without payment. The companion then jokes about receiving 2 newspapers for the price of one.

I personally witnessed this scenario. What I did was to take the necessary coins from my own pocketbook and deposit them into the machine. I opened the door and then closed the door without taking a newspaper. The two small business owners or executives now stared at me in disbelief.

As I approached the restaurant door, one of the businessmen opened the door, but he could not look me in the eyes. He knew he did wrong, but he thought that no one else would see. And he probably else thought that everyone else does it so why not?

Business ethics is all about character. And character is all about doing the right thing when no one else is looking.

I call this self leadership because if you cannot lead yourself well by demonstrating character when no one else is looking how can you lead others?

One of the most consistent complaints that I hear from small business owners is about the lack of work ethics such as employees who do not give an hour of work for an hour of pay. Yet, how many of their executives, supervisors and managers are doing the same thing?

Possibly, these two small business owners thought that rank had its privileges or that they had already paid their fair share? Earning a certain position does merit some additional benefits, but rank does not give permission to steal, to be disrespectful, to be unethical.

Given that our actions are open to everyone to see and hear, we in the business world must be consistently executing the right actions through our work ethics demonstrated by our self leadership skills. For failure to do so, will only cause us harm sometime down the road or the path to the restaurant door when we fail to notice who is observing our business ethics.
